Summary

Coordinates and processes all accounts payable functions for County. Provides information to County departments, various vendors and Special Districts. Must pass a criminal and financial background check prior to offer of employment.

Essential Duties and Responsibilities  

The following may not be all inclusive and other duties may be assigned.  

01 Enters alpha and numerical data into the computer system from a variety of source documents, including, but not limited to, information from check vouchers for accounts payable. Verifies data by checking the accuracy and making corrections as required and retrieves specific data as directed.

02 Reviews all accounts payable for proper payment, budget line item numbers, signature and necessary attachments. Contacts departments to request missing paperwork or to inform of appropriate budget line item number.

03 Maintains vendor information in accounts payable system, including additions to vendor list, changes to vendor information, updating addresses and obtaining W-9's.

04 Generates check register for accounts payable. Voids payments and invoices as necessary. Issue special checks which are required between check runs. Put together necessary information with checks, mail out checks, file accounts payable.

05 Responds to all accounts payable inquiries and questions from departments and public and correct any applicable errors on department billings and/or statements.

06 Acts as backup for processing tax turnover payments to districts.

07 Drives twice weekly routes to County Departments to deliver mail; picks up inter-office and outgoing mail; picks up cash transmittals for delivery to the Treasurer's Office and completes cash transmittal log.

08 Processes outgoing mail by sorting, entering appropriate department code and postage amount into postage machine; applies postage to mail via postage machine; sorts mail in bins according to postal requirements and processes certified and priority mail. 

09 Receives, sorts and directs incoming mail from postal service to County Departments, on a daily basis. Handles packages that contain hazardous materials such as urine, blood, etc.

10 Remains up-to-date on the various shipping companies rates and shipping guidelines to provide the most effective, efficient and cost effective way to send out restricted and certified packages.

Education and/or Experience

High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.

Work Schedule

The normal work schedule is 8 hours per day 5 days per week; exact schedules are assigned by management. It is the attendance standard of the employer that all employees be present and on time each shift they are scheduled to work. Full or partial absence during any scheduled shift, arriving late, or leaving early, for whatever reason, may result in disciplinary action up to and including termination of employment. Time off may be approved if allowed by applicable policies covering illness, injury, or other personal emergency.
