Summary    

Serves as a Legal Assistant for the District Attorney's Office. Duties include reception work by answering a multi phone-line system, greeting the public, making appointments, directing public to appropriate courts, attorneys, law enforcement or other agencies; case data input, scanning correspondence and sending case reminders for all DA staff.

Essential Duties and Responsibilities

The following may not be all inclusive and other duties may be assigned.

01 Copies and distributes orders and other documents to the court; files, scan and performs general office duties as directed. Receives and distributes incoming mail and processes outgoing mail.

02 Scan and enter data into existing electronic filing system; conducts file and record searches.

03 Answers phones and greets clients and the public; directs individuals to appropriate person or agency.

04 Maintains the appearance of the front reception area in an orderly and aesthetically pleasing manner; ensures that the proper security and safety measures are observed at all times.

05 Gives notices to appropriate persons when proceedings are continued or resolved.

06 Responsible for processing, scanning and distributing files from court proceedings by inputting court events and notes into the office database system (Prosecutor by Karpel-PbK).

07 Maintains and updates daily court calendars.

08 Responsible for the disposition of court cases by entering case disposition in PbK, and ensuring adjudication is reported correctly in the law enforcement data system.  

09 Receipts DA Diversion, Discovery and Expungement fees at the counter and enters them into Springbrook.

10 Serves as backup to other Legal Assistants during their absence because of sick leave, vacation, etc.

11 Responsible to demonstrate the conduct and behavior of a team player by helping create a professional work environment for all District Attorney Employees.

12 Completes warrant intake.

Qualifications

Education and/or Experience

One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

01 Current Oregon Driver's License.

Work Schedule

The normal work schedule is 8.00 hours per day 5 days per week; exact schedules are assigned by management. This position is non-exempt in accordance with the Fair Labor Standards Act. It is the attendance standard of the employer that all employees be present and on time each shift they are scheduled to work. Full or partial absence during any scheduled shift, arriving late, or leaving early, for whatever reason, may result in disciplinary action up to and including termination of employment. Time off may be approved if allowed by applicable policies covering illness, injury, or other personal emergency.
